The Bend the Arc family of organizations consists of Bend the Arc Jewish Action, our 501(c)(4) organizing and advocacy arm; Bend the Arc Jewish Action PAC, a political action committee dedicated to supporting candidates for federal office who champion our values; and Bend the Arc: A Jewish Partnership for Justice, our 501(c)(3) education and leadership arm. Headquartered in New York City, we have offices in Washington, D.C., Los Angeles, and San Francisco, with volunteer-led local groups organizing nationwide.

 

Position:

The Operations Coordinator will be part of the Finance and Operations team, and will work closely with the Chief Operating Officer to implement and in some cases develop systems and processes within a growing and complex organization. The Operations Coordinator will work on a range of project areas for the back-office team, including: HR support, policy research and development; training and accountability for staff on organizational systems and platforms; planning and support around staff retreats and other aspects of staff culture; supporting the Board of Directors around meeting planning and logistics, and helping to implement some aspects of our internal technology needs. The Operations Coordinator should be systems-oriented, driven, able to work independently, highly organized, and able to maintain a high level of discretion around HR-related tasks and information. 

 

Key Responsibilities:

  • Strengthen, manage, and maintain organizational systems, processes and platforms ensuring staff have the information they need to consistently utilize our internal tools; develop new protocols as needed 
  • HR support, including: support during the hiring process, including screening applicant resumes,  conducting phone screens and reference checks, support on policy research and development, and support on benefits administration.
  • Manage the process for new hire paperwork and initial onboarding, including getting staff set up on payroll and needed technology, and training new staff on key internal tools and systems such as time management and password manager systems, Slack, and some aspects of Google Suite as needed
  • Maintain and update Bend the Arc’s internal staff website portal 
  • Support the Chief Operating Officer in managing responsibilities around the Board of Directors, including tracking board terms and key dates in the board cycle, scheduling board meetings and committee meetings, and administrative and logistical support for board meetings, including on-site support 
  • Assist with work on physical and digital organizational security and help ensure timely implementation of systems and protocols 
  • Provide planning and logistical support for staff retreats, all-staff meetings, and staff trainings
  • Serve on organizational culture team 
  • Improve internal communications systems and information flow 
  • Light administrative and scheduling support for the Chief Operating Officer 

 

Required Skills and Qualifications:

  • 3-5 years of administrative, operations, HR work or other relevant experience 
  • Highly organized, systems thinker with high attention to detail
  • Demonstrated passion for creating and maintaining clear and organized systems and processes  
  • Strong project manager with the ability to take an idea and develop a project around it with key steps that get to outcomes 
  • Ability to hold multiple streams of work within a complex and dynamic work environment 
  • Commitment to social justice, anti-oppression practices, the mission of Bend the Arc, and working at a values-based organization with a high emphasis on mutual respect, intentional workplace culture, and a commitment to racial equity
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google platforms (Gmail, Google Docs, Google Hangouts, etc.), as well as comfort learning and then orienting new staff on new technology and systems
  • Strong written, verbal, and interpersonal communication skills
  • Ability to travel in or out-of-state as needed for annual staff retreats and other organization-wide initiatives.  Travel is anticipated to be approximately 3 times per year, and will likely be overnight.  

 

Strongly Preferred

  • Experience with any of the following platforms: Slack, Zoom, LastPass, Clicktime 
  • Experience working with board members or donors 
  • Proficiency in basic IT troubleshooting 
  • Experience conducting trainings 

 

Compensation and Hours: This is a full-time position, with work schedules including evenings and weekends. Annual salary range is $58,500 - $63,000 DOE, and includes paid time off and health benefits.
